What is a digital cashbook for choirs and clubs?

A digital cashbook is your club's bookkeeping in electronic form: instead of a spreadsheet or a paper ledger, you record all income and expenses in one piece of software, assign them to accounts and categories and see your balances in real time. In Chorilo, the board keeps the cashbook with bank connection, automatic receipt recognition, donation tracking and exports for your accountant: everything your treasurer and accountant need, on one platform.

What can the cashbook in Chorilo do?

  • Accounts and balances: bank accounts, cash box and other accounts with their current balance; balances update automatically after every entry and every bank sync.
  • Bank connection via PSD2: transactions are fetched automatically every day, read-only, without your login details ever reaching Chorilo. More than 4,000 banks from Germany, Austria, Switzerland and across Europe.
  • Receipt recognition: OCR reads date, amount and issuer from a photo or PDF (around 95 percent accuracy); structured e-invoices (such as ZUGFeRD/Factur-X) are read with 100 percent accuracy.
  • Donations: record donations with their own entry and category, so you always know what came in from supporters. For non-profit clubs in Germany, Chorilo also creates the official German donation receipt as a PDF.
  • Invoices: create invoices with your own numbering, finalise them and send them as PDF.
  • The export gives your accountant or auditors your entries for any period as a CSV file.
  • Traceability: reconciliation of open bank transactions, period closing and an audit log that records who changed what and when.

Cashbook template or digital cashbook?

Many clubs start with a spreadsheet or paper template for their cashbook. That works for the first few entries but soon hits its limits: balances have to be worked out by hand, receipts are kept apart from the figures, and when the annual audit comes round, the structure is missing. A digital cashbook does the maths, links every receipt to its entry and keeps a complete, traceable record from the very first entry.

Keeping the cashbook: step by step

  1. In the cashbook, create an account under Accounts (bank account, cash box or other account).
  2. Optionally connect your bank account via PSD2. Transactions are then fetched automatically every day.
  3. Upload a receipt; receipt recognition pre-fills date, amount and issuer.
  4. Check the values, assign a category and save the entry.
  5. Match open bank transactions with your entries under Bank reconciliation.
  6. When needed, create the export for your accountant or auditors.

Frequently asked questions about the club cashbook

Can I hand the books over to my accountant?

Yes. Chorilo exports your entries for any period as a CSV file, ready for your accountant or auditors. An audit log records every change so it can be traced.

Can I connect my bank account?

Yes, via the European PSD2 interface. Chorilo only reads transactions: transfers or account changes are not possible, and your online banking login never reaches Chorilo. More than 4,000 banks from Germany, Austria, Switzerland and other European countries are supported.

Can I record donations?

Yes. Donations get their own entry and category, so you can see at any time what came in from donors. The printable donation receipts follow the official German template and are meant for non-profit clubs in Germany.

Does receipt recognition really save time?

Yes. With structured e-invoices (such as ZUGFeRD/Factur-X), Chorilo reads the data with 100 percent accuracy. For scanned or photographed receipts, OCR recognises date and amount with around 95 percent accuracy and pre-fills the entry form. All you do is check.

Who in the club can see the cashbook?

Only members with the “View cashbook” permission, by default the board and the treasurer. Regular members have no access to the club's finances.
