Getting Started
What is Chorilo?
Chorilo is a comprehensive management platform for choirs and music ensembles. It helps you organize members, manage sheet music, plan events, and communicate with your ensemble. Whether you're a small vocal group or a large choir, Chorilo provides all the tools you need for efficient ensemble management.
Who is Chorilo suitable for?
Chorilo is designed for all types of music ensembles: choirs, music associations, vocal groups, and other musical communities of any size. Whether you lead a small chamber choir with 10 members or a large choir with over 100 singers - Chorilo adapts to your needs.
How can I test Chorilo for free?
You can test Chorilo for 60 days completely free and without obligation. Simply register on our website, create your first ensemble, and invite members. All features are available to you during the trial period. The trial ends automatically - no costs are incurred if you decide against continuation.
What are the first steps after registration?
After registration, you should first create your first ensemble and set basic data like name, type, and color. Then you can invite members, create first events, and upload sheet music. Our onboarding process guides you step by step through the most important functions.
How does the registration process work?
Registration is simple and takes only a few minutes. Enter your email address and a secure password, confirm your email address via the confirmation link, and you're ready to go. You can also join directly via an invitation link from an existing ensemble.
Ensembles & Members
How do I create a new ensemble?
Click 'Create Ensemble' in the dashboard or ensembles section. Enter the name, select the type (choir, vocal group, orchestra, etc.), and add a description. You can optionally upload a logo and choose a signature color. Then define the voice parts (e.g., Soprano, Alto, Tenor, Bass) that your ensemble uses.
How do I add new members?
There are several ways: 1) Via 'Add Member' you can invite people by email. 2) Generate an invitation link that you can share. 3) Members can register themselves and join via the invitation link. New members automatically receive a welcome email with all important information.
What are the different member roles?
There are three roles: Administrator - full access to all functions, can manage the ensemble and appoint other administrators. Editor - can manage content (events, sheet music, notifications) but cannot change ensemble settings. Member - can use all features but cannot manage content or see privacy-sensitive information like contact details.
Can members edit their own data?
Yes, each member can independently manage their own contact data, profile information, and settings via their profile. Administrators and Editors can additionally edit ensemble-specific data like voice, role, and notes. However, members cannot change their own role.
How do invitation links work?
Invitation links are a simple way to invite new members. Generate a link in the ensemble settings and share it via email, WhatsApp, or other channels. Anyone with the link can register or join the ensemble as an existing user. Links can be regenerated at any time to ensure security.
How do I manage voices and instruments?
In the ensemble settings, you can create all needed voice groups under 'Voices' (e.g., Soprano, Alto, Tenor, Bass, or specific instruments). Each voice has a name and abbreviation for clear display. Members can then be assigned to corresponding voices, which helps with event planning and seating arrangements.
Events & Calendar
How do I create a new event?
Go to 'Events' → 'Create Event' or click on the desired date in the calendar. Choose the type (rehearsal, concert, etc.), enter title, description, location, and time. You can also directly add sheet music to the event. All members automatically receive a notification.
How do I manage event attendance?
Members can confirm or decline their attendance directly via the event details or email link. As an administrator, you can immediately see in the event overview who has confirmed, who has declined, and who hasn't responded yet. You can also manually add or remove participants and send reminders to members who haven't responded.
Can I integrate events into my personal calendar?
Yes! Each member gets a personal iCal feed that can be subscribed to in any calendar app (Google Calendar, Apple Calendar, Outlook, etc.). Events automatically appear in their personal calendar and stay synchronized. The subscription link is found in the Events section.
Are automatic reminders sent?
Yes, Chorilo sends automatic email reminders to all invited members. By default, members receive a reminder at 8:00 AM on the same day. Additionally, administrators can send manual reminders at any time or use push notifications via the mobile app.
What event types are available?
Chorilo supports various event types: Rehearsals for regular practice sessions, Concerts for performances, Events for special occasions, and Other for additional activities. Each type can be individually configured and has its own colors in the calendar for better overview.
Sheet Music & Files
How do I upload sheet music?
Go to 'Sheet Music' → 'Upload Sheet Music' and drag PDF files into the upload field or click to select. Enter title, composer, arranger, and other details. You can assign sheet music directly to an ensemble and categorize with tags. Additionally, you can add audio files as listening examples.
Who can see which sheet music?
Sheet music is always ensemble-specific – only members of the respective ensemble have access. Administrators and Editors can manage all sheet music of the ensemble, while regular members can only view and download them. You can also assign sheet music to specific events to increase clarity.
Can I make annotations in the sheet music?
Yes! In the mobile app, you can draw, highlight, and add annotations directly in the PDF sheet music. Use various tools like pen, marker, and eraser in different colors. Your annotations are automatically saved and synchronized across all your devices. Each member has their own private annotations.
Can I add audio files to sheet music?
Absolutely! You can upload multiple audio files to each sheet music – for example, full recordings, voice samples, or piano accompaniments. Members can play these directly in the app or browser to learn the pieces. Supported formats are MP3, WAV, and other common audio formats.
What is AI sheet music analysis (BETA)?
Chorilo automatically analyzes uploaded PDF sheet music using artificial intelligence and extracts important information such as difficulty level, mood, language, categories, and more. This data helps with organization and AI-powered concert program suggestions. The feature is still in BETA phase.
How does AI concert programming (BETA) work?
The AI can automatically suggest suitable sheet music from your repertoire for a concert program based on your preferences (occasion, difficulty level, program length, etc.). The more sheet music you upload and the longer you use Chorilo, the better the suggestions become. The AI also considers which pieces you have already performed frequently.
Are the AI-analyzed data always correct?
The AI analysis is continuously being improved, but may still contain errors as the feature is in BETA phase. The analyzed data cannot currently be manually edited. In a future version, it will be possible to report incorrect data to further train and improve the AI.
How do I link sheet music to events?
When creating events, you can directly select sheet music that is relevant for that event. Members then immediately see in the event overview which pieces will be rehearsed. You can also add or remove sheet music from events afterwards and adjust the order via drag & drop.
Messages & Communication
How do I send messages to my ensemble?
Go to 'Messages' → 'Create Message', write your message and select the ensemble. You can attach files, add polls, and determine whether all members should be notified via email. Messages appear immediately in all members' dashboards and optionally as push notifications in the app.
How do I create polls?
When creating a message, activate 'Add Poll', enter the question and answer options. You can allow multiple selection and even create event polls where members vote on specific event proposals. Results are displayed in real-time, including percentages and names of voters.
What notifications are available?
Members receive email and push notifications for new messages, event invitations, reminders, and when they are mentioned in comments. Everyone can specify in their profile settings which notifications they want to receive. Administrators can choose when sending messages whether notifications should be sent.
Mobile Apps
What features do the mobile apps offer?
The iOS and Android apps offer almost all desktop functions: read and annotate sheet music, view events and manage attendance, read and comment on messages, receive push notifications. Additionally, there are mobile-specific features like an integrated piano, metronome, and the ability to draw in sheet music.
Does the app work offline too?
Yes! Downloaded sheet music and your annotations are available offline. The app automatically synchronizes all changes as soon as an internet connection is available again. So you can work on your sheet music and study them even without internet.
What are practice sessions in the app?
Practice sessions enable virtual rehearsals where the choir director shares annotations in real-time with all participants. When the director opens a sheet music, all participants receive a notification and can jump to the same location with one click. When the choir director draws something in their sheet music, members see this annotation for a few seconds. This enables better overview and communication.
How do the drawing tools work?
In the app, you can draw directly in the sheet music with various tools: pen for precise lines, marker for highlighting, and eraser for deletion. Choose from different colors and line widths. Additionally, you can set jump marks to mark repetitions and jumps in the sheet music – jump to the desired location with just one click. All drawings and jump marks are automatically saved and synchronized between your devices.
How do I use the piano and metronome in the app?
The app contains a complete virtual piano with multiple octaves and a precise metronome. The piano is perfect for tuning or practicing melodies. The metronome offers adjustable BPM values and visual as well as acoustic beats. Both tools are available while reading sheet music and help with studying music.
What special PDF features are there?
The PDF viewer offers advanced functions: zoom and navigation, full-screen mode, drawing tools with various colors and line widths, jump marks for easy navigation to important locations, automatic synchronization of annotations, sharing PDFs and export functions. Additionally, the app supports special music notation symbols for professional annotations.
What push notifications do I receive?
You receive notifications for new messages, event changes, mentions in comments, practice session invitations, and important ensemble updates. In the app settings, you can specify exactly which notifications you want to receive. All notifications also work in offline mode.
Does the app support biometric login?
Yes, the app supports Touch ID, Face ID, and fingerprint scanners for secure and convenient login. After the first login with your credentials, you can activate biometric authentication. Your login credentials are securely stored in the device's keychain/keystore.
Subscription & Billing
What pricing plans are available?
Chorilo offers a unified plan for all ensembles with unlimited members and storage space (fair use principle). You can pay monthly or annually – with annual payment, you save two months. All features are included in every plan, there are no hidden costs or limits.
How long does the free trial last?
The trial period lasts 60 days and is completely non-binding. You have access to all features without restrictions. The trial ends automatically – no costs are incurred if you decide against continuation. You receive timely reminders before the end of the trial period.
What payment methods are accepted?
We accept all common credit cards (Visa, Mastercard, American Express) as well as SEPA direct debit for European customers. Apple Pay, Link, Amazon Pay, Klarna, and Revolut Pay are additional payment options. Billing is processed securely through Stripe, one of the leading payment processors. Your payment data is transmitted encrypted and not stored with us.
How can I cancel my subscription?
You can cancel your subscription at any time in the ensemble settings under 'Subscription'. The cancellation becomes effective at the end of the current billing period – you can continue using Chorilo until then. Your data remains available for 30 days after cancellation in case you decide to continue.
Technical Questions
Which browsers are supported?
Chorilo works in all modern browsers: Chrome, Firefox, Safari, Edge, and Opera. We recommend the latest version for the best performance. The mobile website is optimized for smartphones and tablets, but for the best experience, we recommend our native apps.
What to do with technical problems?
First try reloading the page or clearing the browser cache. For persistent problems, contact our support at [email protected] with a description of the problem and information about browser and operating system. We usually respond within 24 hours.
How secure is my data?
Your data is stored in secure European data centers and protected by state-of-the-art encryption. We follow strict privacy guidelines (GDPR compliant) and conduct regular security audits. Backups are created automatically to prevent data loss.
Can I export my data?
Yes, you can export your data at any time. In the ensemble settings, you'll find options to export member lists, events, and other data in common formats (CSV, PDF). Upon cancellation, you can receive a complete data export of all your information upon request.
