Sending One Notification to Several Choirs at Once

Many choir directors look after more than one choir: the children's choir in the afternoon, the chamber choir in the evening, perhaps a project choir for the Christmas concert on top. In associations with several ensembles, too, the same information often has to reach quite different groups – the invitation to the summer party, the changed rehearsal time in the parish hall, the call for helpers at the concert. Until now, that meant writing the same notification several times, sending it several times and collecting the replies in several places. In Chorilo this now happens in one step.

Why cross-choir notifications?

As soon as two or three choirs work under one roof, many topics concern them all together: the shared rehearsal venue, the joint concert, the association's anniversary. If each group is informed separately, the conversations drift apart – one choir discusses how to get there, the other discusses the programme, and anyone who wants to read both has to switch back and forth between the choirs. A shared notification bundles all of this: everyone reads the same text, everyone sees the same answers, and the director keeps track of the replies in a single place.

How to send a notification to several choirs

When composing a notification, you select the choir as usual – what is new is that you can select several choirs in this picker. Everything else stays the same: write the title and text, attach files if needed, optionally add a poll and publish. The members of all selected choirs are notified as usual. No copy per choir is created – instead there is one single shared notification that appears in all participating choirs.

One shared notification instead of many copies

This difference matters, because it is what makes the feature genuinely useful: comments, reactions and poll results come together across the choirs. If someone from the chamber choir asks about the time, the members of the children's choir see the question and the answer too – nobody has to give the same information twice. In a poll, participation is counted across all choirs together, so it is clear at a glance how many people have accepted in total. To keep this transparent for everyone, the notification is clearly marked: everyone sees which choirs it is addressed to and that comments are visible with names to everyone involved.

Who may do this – and who sees what?

Notifications for several choirs can be composed by anyone who is allowed to compose notifications in each of the selected choirs. Choirs in which this right is missing do not appear in the picker at all. Editing and deleting follow a clear rule as well: anyone who has the corresponding right in one of the participating choirs may do so. There is one restriction concerning visibility: since voice parts and roles always belong to a single choir, a shared notification cannot be limited to individual voice parts or selected members – it always addresses all active members of the participating choirs. For targeted messages to a smaller circle, the notification to a single choir remains the right tool.

What cross-choir notifications are good for

The feature saves the most time wherever everyone needs to know the same thing anyway: the invitation to the joint concert including directions and schedule, the scheduling poll for the joint choir retreat, the search for helping hands at the association's party or the short-notice message that the rehearsal venue is unavailable at the weekend. A poll across all choirs is quickly set up as well – for example to find out how many people from all ensembles together can take part in the performance.

Good to know

A shared notification is always as public as the largest circle it reaches. So before sending, briefly consider whether the content is really meant for all participating choirs – for everything else, the notification to a single choir is the better fit. In the mobile app, shared notifications can currently be read, commented on and answered; to edit or delete them, switch to the web application. And as with every notification: push notifications go out immediately, the emails follow bundled shortly afterwards.
