Choir director: linking parents and children

Link a child with a parent from the choir directly from the member list. Active immediately, no confirmation needed. Requirements, notes and tips.

What is this?

As choir director you link children and parents directly from the member list, without either side having to confirm. This is the way for children without their own login like Jonas (9) and the quickest option if you have just created both anyway.

Requirement

First enable the parent link in the choir settings. Only then do the "Guardian of" field when adding members and the link action in the member list appear.

The parent must be a member of the choir. So invite them first, separately from the child, like any other member:

  1. Members > Add member, enter Petra's details.
  2. Tick "Exempt from events" if Petra does not sing. She then appears in no pending list and does not distort attendance statistics, but receives all notifications and sees all events.
  3. Choose a permission group, see the tip below.

A link never grants access to a choir. Anyone who is not a member cannot be linked.

  1. Open the member list and go to the child's row, for example Jonas.
  2. Choose the action "Link guardian".
  3. Select the parent from the choir's members, for example Petra Müller.
  4. Save. The link is active immediately.

Child and parent receive a notification. From now on the child's row shows "Guardians: Petra Müller". There is no icon and no filter, just this note.

When creating a new child you can also set the link right away in the Add member dialog under "Guardian of".

Removing

The choir director cannot remove links. Only the parent can, in their own profile. If a parent should no longer respond for a child, you have the usual option: remove the parent from the choir. The link remains but no longer applies in your choir.

What parents see and may do afterwards

  • confirm, decline and vote for the child
  • all events and notifications the child sees, even if they are restricted to the child's voice section, role or permission group
  • in the attendance history, responses by the parent show "changed by Petra Müller"

Chats, files, sheet music and personal data of the child are not affected. For those, only the parent's own permissions apply.

Tips

  • A separate permission group for parents without sheet music access. That way parents use no license seats for purchased sheet music and only see what they need.
  • Both parents may be linked. Both can respond, the last change counts.
  • Limit: at most 6 guardians per child and 6 children per parent.
  • Community parental consent is something different: it only controls whether an underage member may use the Community and has nothing to do with this link.

Frequently asked questions

Does the parent have to confirm the link if I create it?
No. Links created by the choir director are active immediately. Child and parent receive a notification, and the parent can remove the link at any time.
Can I remove a link again?
No, only the parent can. If a parent should no longer respond for a child, remove them from the choir. The link then no longer applies there.
The parent does not appear in the selection.
Only members of this choir can be selected. Invite the parent as a member first, then you can link them.
Do parents use up license seats for sheet music?
Only if their permission group allows sheet music access and they open sheet music. It is best to create a permission group without sheet music access for parents.
