See who opened a notification

Check who has already opened an important notification and who hasn't. Your choir switches the read status on itself, and only seen or not seen is shown.

Permission required: Notifications – See who opened notifications

What is this?

For important notifications, such as a moved rehearsal or the schedule on concert day, you want to know whether the information has arrived. With the read status you see who has already opened a notification and who hasn't.

Only seen or not seen yet is shown, never the time. “Seen” means opened. Chorilo can't know whether someone read everything.

Switch on the read status for your choir

The read status is off at first. Your choir switches it on itself:

  1. Click Ensembles in the sidebar, pick your choir and then Choir settings.
  2. Select General.
  3. In the Notifications card, turn on the switch Read status for notifications.
  4. Click Save changes.

You need the permission Edit settings for this. The read status only applies to notifications created from then on. If you switch it off, all lists disappear. If you switch it on again later, it starts over: notifications from before stay without a list.

Suggested wording for bylaws or data protection policy

When the switch is on, Chorilo shows a suggested paragraph below it, which you can take over with Copy text:

The association uses the Chorilo software for internal communication. Chorilo stores whether a member has opened a notification from the association. Only persons authorized by the board can see this information. It serves solely to make sure that important information reaches all members. The time of opening is not shown.

The text is a suggestion, not a requirement. Inform your members before you use the feature. Changes to the bylaws are usually decided by the general meeting, a data protection policy can often be adopted by the board. If you are unsure, talk to your board or get advice from a data protection expert.

How to see who opened the notification

  1. Open the notification under Messages › Notifications.
  2. Click or tap Seen. The button shows how many people have already opened the notification, for example Seen 12/40. On the web it sits at the top of the notification, in the app below the author line.
  3. The list has two sections: Not seen yet and Seen, each person with their voice part.

The list contains the active members who can see the notification. If it is only visible to certain groups, voice parts or people, only they appear in it.

Children and parents

Children without their own login can't open a notification themselves. If a linked parent opens it, it counts as seen for the child. The list then shows via parent next to the name.

Notifications to several choirs

If a notification goes to several choirs, you only see the members of the choirs where you have the permission and the read status is switched on.

What members see

Notifications with read status show a small info icon, on the web next to the date. Tapping it shows: “Authorized people in the choir can see whether you have opened this notification. The time is not shown.”

Permission

Only people with the permission See who opened notifications see the list. By default only administrators have it. Under Permission groups you can give it to other groups, such as the board or the choir director.

Tips

  • Grant the permission sparingly. The smaller the circle, the less members feel watched.
  • Remind people individually. Someone listed under Not seen yet for an important notification is better served by a short personal message than by a reminder to everyone.
  • Announce the feature before you switch it on, for example in a notification or at the next rehearsal.

Frequently asked questions

Can I see when someone opened the notification?▾
No. The list only shows whether someone opened the notification, never the time.
Why is there no “Seen” button on older notifications?▾
The read status only applies to notifications created after it was switched on. If your choir switches it off and on again later, the new date counts. Older notifications get no list.
Does “seen” mean someone has read the notification?▾
Not necessarily. Chorilo only records that the notification was opened. Nobody knows whether someone read it to the end.
As the author, do I automatically see who opened it?▾
No. The author also needs the permission **See who opened notifications**.
