What is this?

With Create notification you send an announcement to all or selected members of your choir. Notifications are the right tool for info that should reach everyone — unlike a chat, they are not addressed to a single recipient but to the community.

Typical reasons for a notification:

  • Rehearsal info — short-notice cancellation, room change, extra rehearsal
  • Performance info — directions, outfit, dress rehearsal, program
  • Organizational — new rehearsal scores, schedule, association topics
  • Polls — finding a date, choosing pieces, board elections
  • Social — birthdays, parties, outings

How to compose a notification

  1. Open the Notifications area in the main menu.
  2. Click "New notification" at the top right.
  3. Select the choir — or several, if the notification should go to more than one choir.
  4. Enter a meaningful title — it appears in the overview and in the push notification.
  5. Write the text in the editor. You can use paragraphs, lists and links.
  6. Attach files if needed — PDF, image, Word, Excel and more are supported.
  7. Optionally enable a poll and enter the answer options.
  8. Pick the recipients: all members or specific voices and roles.
  9. Publish the notification. Push notifications go out immediately, emails bundled within 10 minutes.

Notification to several choirs

If you direct several choirs, you can tap more than one in the choir picker. All selected choirs then receive one shared notification, not a copy each. That has consequences you should know about:

  • Comments cross choir boundaries. Whoever comments writes visibly for all involved choirs — with their name.
  • Reactions and poll results too. Participation is counted across all choirs together.
  • Restricted visibility is not possible then. Voices, roles and chat groups only exist within a single choir. As soon as you select more than one choir, that option is disabled.
  • Everyone can see the notification is shared. The notification states which choirs it goes to and that everyone sees each other's comments.
  • Anyone may edit and delete it who has the corresponding permission in one of the involved choirs. In the mobile app this is not yet possible for shared notifications — a note appears there instead.

Requirement: you need permission to write notifications in every selected choir. Choirs without that permission do not even appear in the picker.

What recipients see

Once published, the notification appears immediately in the notifications overview. Members with push notifications also get a message on their phone. The digest email shows the title and a preview, a click leads directly to the web view or app.

Recipients can comment, react with emojis, download attachments and take part in polls on your notification.

Permission

You need the Create & edit notifications permission to compose a notification. It is assigned by default to choir directors and the board. The assignment is managed in the choir settings under Administration > Permission groups.

Tips

  • Pick a clear, short title — it is also used as the email subject.
  • Put the most important point in the first sentence so it shows in the preview and push notification.
  • Target individual voices as recipients when only soprano or bass are concerned — others are not unnecessarily notified.
  • Combine poll and attachment, for example for piece suggestions with score samples as a PDF.
  • Only select several choirs for topics that really concern everyone — a joint concert, for example. For internal matters one notification per choir stays the better choice, because then nobody from the other choir reads along.

Turning comments off

Not every message needs a discussion. When creating and when editing you will find the option Disable comments. With it ticked, members can only read the message — the comment box disappears, on the web and in the app.

Useful for pure information where no reply is wanted. You can allow comments again at any time: edit the message, remove the tick, save. Comments that already exist stay visible.

Frequently asked questions

Who gets my notification?
By default all active members of your choir receive the notification. You can target the recipients — for example individual voices, roles or selected members. Inactive members are never notified.
When are the emails sent?
Push notifications go out immediately. Emails are bundled and sent within 10 minutes — that way members get a digest email rather than many individual messages when several notifications occur.
Can I add attachments?
Yes. You can attach PDFs, images, Word documents and other files. Several attachments per notification are possible. Members can download the attachments directly in the app or web.
How do I create a poll inside the notification?
In the form, enable the "Poll" option and add two or more options — for example date proposals or suggestions for the next concert piece. Members can then vote with one click.
Can I send one notification to several choirs at once?
Yes. In the choir picker you can tap several choirs, as long as you are allowed to write notifications in each of them. No copy is created per choir — it is one shared notification: the members of all involved choirs see the same comments, reactions and poll results, including those from people in the other choirs, with names. A note in the form and on the notification itself makes this visible to everyone.
